First steps in Stud.IP for lecturers

This page explains what you need to know when you first log in to Stud.IP and at the start of each semester.

Logging in to Stud.IP with your access data takes you to the Stud.IP home page. At the top of the page there is a menu to navigate you to various areas: Start (the page you reach after log-in), Courses (leads to a summary of your own courses), Messages, Community, Profile, Planner, Search, Tools, BulletinBoard.
Courses imported from UniVZ are locked, so unless you unlock the course, students cannot enrol. In order for students to be able to enrol for your course you have to unlock it manually.

You can unlock the course in the administration area under “access permissions”. Place the green arrow on “none”, to unlock the course. Alternatively you can set up a lottery procedure or chronological enrolment.

Please note:
  • If the course remains locked students cannot enrol, even if you enter a start date for enrolment. They can however transfer the dates for the course into their timetable.
  • If the enrolment process is changed, then the course is released for enrolment. This makes it easy for students to distinguish whether or not a course is being supervised by the lecturers in Stud.IP.
The consultation hours and contact data for lecturers are transferred from UniVZ into “Profile”. If necessary please have changes input in UniVZ; these will then be visible in Stud.IP as well the following day.
Once you have registered in Stud.IP you will find your courses under “Courses”; they are automatically transferred from UniVZ. However, if they are not transferred despite being entered in UniVZ, please contact support@e-learning.uni-goettingen.de.

The following data are automatically synchronised nightly:
  • Basic data
  • Rooms
  • Lecturers (not tutors, as this information is not available in UniVZ)
  • Appointments (always completely synchronised, manual changes in Stud.IP are overwritten nightly on synchronisation)
  • Affiliation to institutions
As a lecturer you still have to process the following in Stud.IP:
  • Tutors for a course
  • Title and description of appointments
  • Forum, files, Wiki, literature, information page, participants, etc.
Please note that you must unlock the courses so that students can enrol.
As a lecturer you can create new courses in Stud.IP if your course does not exist in UniVZ and therefore is not automatically transferred to Stud.IP.

An appointment can only be changed short term in Stud.IP. The following night on synchronisation the change will be overwritten. Therefore there are two steps:
  • You change the date/room in Stud.IP when the change only applies to the current day or has to be communicated urgently for other reasons. For urgent changes we recommend also sending a brief announcement to course participants via Stud.IP.
  • You make the change in UniVZ, and this change is transferred to Stud.IP overnight.
In some cases it is advisable to limit access to a Stud.IP course to a maximum number of participants and if necessary even to a particular degree course. There are two options for restricting participation.

Restriction by drawing lots: in this case Stud.IP selects the given number of participants by drawing lots. Participants who are not selected are placed on a waiting list and have the chance of replacing anyone who drops out. For a lottery procedure the maximum number of participants must be at least 1.

Restriction in order of enrolment (chronological): in this case the motto is “first come, first served.” The quotas – which you have to input at a later stage – are filled individually. At first, no participant gets a place and they are all placed on the waiting list here.

The schedule is generated automatically from the dates imported from UniVZ. If you want to add dates, please contact the UniVZ admin for your institution.

Under “Edit schedule” you can enter a title and a description for each date and easily create a forum topic and a file folder.

In order to enter tutors for your course, the person concerned must have a tutor account. As a rule that is not the case for students; please contact the Stud.IP administrators for your institution, so that they can apply tutor status to the account.

Then in “Administration” you can click on the course under “Basic details -> Staff”, input the surname of the relevant user and finally add as tutor.
In some cases it is necessary for you to input users for your course manually. Under the tab “Participants”, you can search for the relevant person at the bottom of the page and then add them.

If you want to input several users at once, use the large user-defined text field at the bottom of the page. Input the surnames of the users and then click Enter.
Select the course for which you want to send a message to the participants, and click on the tab “Participants”. Click at the top on the link “Send system message with e-mail forwarding to all participants”. This opens up a message box. Input the subject and the message and click on Send.
You can improve the organisation of your course by creating groups. This can be helpful when organising study groups, for example. Group folders can be automatically created for groups. You can also determine whether the students can sign up to one or more groups.

If you want messages that are sent to you in Stud.IP to reach you by e-mail, you have to set up forwarding. Click on “Settings” at the top right hand side of the page, below the Stud.IP logo, and then on the tab “Messages”. Here you can arrange for a copy of your internal Stud.IP messages to be sent directly to the e-mail address you have input in Stud.IP. To do this, mark the box “always”.
