This section covers various aspects of the work organization within the Division of Plant Diseases and Plant Protection. Some of the information may also be of interest to a wider audience, but primarily it is intended for internal use. More specialized details relevant for experimental planning — such as descriptions of technical equipment, area capacities, and the booking system — can be found on the SharePoint site "Sharepoint Grisebachstr.6". Access to this site requires the GWDG user ID and password, and is therefore not publicly available. If you encounter issues accessing the site but have the legitimation (member of the Divisions Plant Diseases and Crop Protection, Agricultural Entomology, Soil Physics), please contact Dr. Koopmann. Usage rights may need to be assigned accordingly.

At the start of your work in the division, several tasks must be completed. The following comprehensive list is designed to make getting started easier.

The “Check-IN-OUT” form, required for documentation, can be downloaded and printed from the download section in the right-hand column of this website, or it can be obtained from the departmental office.

This form covers both the beginning and the end of work. It includes a list of mandatory tasks that must be completed and signed off by your supervisor or manager.

Check In
  • Complete the form with your personal details, contact information, and information about your future workplace.

  • Obtain keys from the caretakers after paying a 50€ deposit at the divisions office (Ms. Kiefer). Ensure that the key or key set provides access to all relevant areas (main building, greenhouse facilities).

  • Attend the mandatory safety briefing conducted by Dr. Koopmann and confirm participation with your signature (instructor’s signature required as well). The current safety instructions are available as a PDF download (see link in the right-hand column) for review.

  • For greenhouse work, attend an additional briefing by Mr. Knobel. Completion must be confirmed by signatures on the Check-IN-OUT form.

  • For field trials, attend a briefing by the field trial technician, Mr. Kellner, and document it with signatures.

  • In case you need official vehicles authorization from the head of the division is required. Request documents from Ms. Kiefer and complete a briefing with Mr. Kellner before driving.

  • Review the guidelines for preparing a thesis (available in the download section) and confirm awareness by signature. Apply these guidelines when preparing your work.

  • Arrange the setup of your computer workstation (see “Computer-related aspects”).

Check-Out
At the end of your work, several tasks must be completed, which are listed on the reverse side of the Check-IN-OUT form. These include:

  • Cleaning and tidying up the workplace,

  • Handover of important biological material (e.g. new fungal strains to be included in the department’s collection),

  • Transfer of data (also with regard to plagiarism issues),

  • Returning borrowed books to the library,

  • Settlement of any outstanding invoices, and

  • Return of institute keys.

Please have the completion of these tasks confirmed by your supervisor with a signature. Please note that completing these tasks is a prerequisite for forwarding the evaluation of your work to the Examination Office. Supervisors are instructed not to submit any evaluations to the Examination Office if the CHECK-OUT requirements have not been fully completed.

  • Setting up your workstation (Bachelor’s, Master’s, and PhD students)
    • Contact the IT team and request assignment to our division.
    • Ask your supervisor to assign you a workstation/desk (Bachelor- Master students room).
    • Use your personal Active Directory for data storage (daily backups).
    • Make sure you have access to the division's Active Directory for data sharing with supervisors and colleagues.
  • CITAVI campus license is ending soon (30 November 2026)
    Please switch to another reference management tool in good time. ZOTERO is recommended. Using reference management software from the start of your thesis is strongly advised.
