E-Examination during the Corona-pandemic: advice for teachers

The number of examinations conducted in person should be limited to the absolute minimum. Bearing in mind the current pandemic, the University cannot have an interest in encouraging its students, employees and lecturers to increase the amount of travelling they do. Therefore, examinations in person are to be limited to those that are absolutely unavoidable; the Krisenstab (crisis management team) will only grant exceptions in individual cases that are clearly justified. More information on this can be found in this handout.
A pdf version of the recommendations on the conduct of examinations in the winter semester can be found at https://www.uni-goettingen.de/en/639484.html.

In order for an examination in presence to take place, an exemption has to be present. Additionally, students and supervisors are advised to take the opportunity of getting tested for SARS-CoV-2 within the Campus Covid Screen project (detailed information about the CCS-project can be found here: https://www.uni-goettingen.de/en/631931.html).

Supervisors should keep in mind that
  1. respective test cohorts are available for reservation, however
  2. the anticipated number of participants has to be enrolled as soon as possible.
Reservation requests can be sent to Dr. Kristina Lovric-Pernak (kristina.lovric-pernak@zvw.uni-goettingen.de).
Until further notice the capacity of our testing facilities are reduced:

  • E-exams room MZG 1.116: 60 seats
  • PC-Pools of the social- and economical science datacenter
    • MZG 5.111: 24 seats
    • MZG 6.111: 26 seats
    • MZG 7.111, 7.124, 7.153: 45 seats

For each cohort we offer a maximum of 150 available seats. In-between each cohort we assess approximately 30 minutes to air the room. After two cohorts and between two different exams this recess can be extended until up to 60 minutes, to allow a smooth procedure without delays.

With immediate effect the e-exam room can be reserved again. To reserve a date please have a look at our online calendar and after choosing a date we will be happy to confirm your date. If the expected group size should require additional rooms, we will arrange an allocation scenario. For official reservations using UniVZ it is sufficient to just request the room with the adjusted number of participants (max. 85 for each cohort). Due to changed framework conditions (lower capacity, airing recesses etc.) an alternative plan can be necessary, especially if you reserved under the original regulations for dates from the 23rd of May 2020 onwards. If you have a need for clarification do not hesitate to contact us!
The waiting areas, which can be found in front of the rooms and possibly the respective entrance areas, will be equipped with tags and seat numbers. The students are asked to wait according to their assigned seat number at the respective tag and wait until the planned admittance has begun. The attendance check will be realized with the assistance of a camera placed at the entry of the room. A manual control is no longer required.
After the exam the room will be departed orderly and if needed in single zones. The last two students are asked to sign the required checksum protocol to allow us to digitally archive in accordance to the law. It will be easily accessible on their’ way out.

Only essential personnel is admitted: For each room one functional supervisor has to be provided, if room MZG 1.116 and all rooms on the seventh floor are packed, two functional supervisors for each room are required. Application supervision is provided by the service of e-Examination, but due to the current situation only essential staff will be present. This can lead to the situation that only one application supervisor is present for the entirety of the PC-Pool of the social- and economical science datacenter.
If there cannot be an application supervisor present, every announcement pertinent to the exam has to be made by person in charge of the exam, including the necessary technical and organizational information for the participants. A complete checklist including the required announcements will be provided by the service for E-Examination.
In case of technical problems or questions of content that can only be solved on the workstation, the examinee* and the person responsible for the room or examination must put on the mouth-nose cover and keep as much distance as possible from each other without falling below the minimum distance to the nearest workplace.
Students need to be informed of their exams’ date at least two weeks in advance. Please contact us sufficiently early.
In order to arrange a smooth waiting process and seating, students need to be informed about their seat number ahead of the exam. We are currently working on a solution to inform students via FlexNow.
Only in justified exceptions are mock exams realized in presence at our facility a possibility, e.g. if there is a complex scenario with admitted applications, which you are otherwise not able to inform your students about (such as related exercises).
To demonstrate the functionality of the ILIAS system and the types of questions used by you, we recommend to provide a convincing exam in Stud.IP (Stud.IP is connected with the ILIAS system). If you need assistance with transferring mock exams and questions from the ILIAS system to e-examinations, feel free to contact us.
In order to allow post-exam reviews we as service for e-examination need a list of the participants to assign each student a seat. Students interested in a post-exam review need to declare their interests to you in advance. Spontaneous late registrations are not possible. Content questions can be answered by using the smartboard in the e-exam room (only one student at a time).
Each and every person is responsible for their own facemasks and gloves, regardless whether student or teacher.
Please wash your hands and/or use the disinfectant in the entry area before entering the room.
You are not obligated to wear facemasks or gloves in the room itself, nonetheless we recommend you doing that.
Please mind the safe distance of 1, 50 meters. If you are a part of the high-risk group, you might want to consider sending a substitute supervising the exam.

A subsequent registration is not possible. If someone has not been able to register in FlexNow and therefor did not get an assigned seat, the student is not able to participate in the exam. If students were not able to register properly but are supposed to participate in the exam nevertheless, we as e-examination service need to be notified at least 24 hours in advance. If we are notified at least 24 hours in advance, these students will get a seat assigned to them and therefor can participate in the exam. Furthermore we precociously need information concerning disadvantage compensation to consider together with you whether we need another room, compensatory performance or maybe an alternative testing date.
Considering the current situation (various reasons may apply) we politely ask you to be cooperative if students are not able or wish to not attend an exam. The prospect of alternatives empowers a circumspect and responsible behavior with a vague medical condition, which might include a Corona infection.

We apologize for any inconvenience you might experience due to operating delays with the current situation. Please expect to be faced with delays.

We reserve to update our suggestions depending on further development. If you have any further questions, feel free to contact us by writing an email to epruefungen@uni-goettingen.de.
